Regular document mail can include correspondence such as:
Bank mail
Bills
Statements
and similar document correspondence.
Mail Opened and Scanned
When document mail is received through the service, the contents can be opened and scanned so the correspondence can be delivered digitally.
The scan moves through the service to FilingOak, and I make the applicable scanned document available to you through FounderVault.
Private Digital Access
Your released scanned documents have a private place inside FounderVault rather than depending on scattered email attachments.
Clear Additional-Item Pricing
After the 25 included document-mail items are used, each additional document-mail item is $29.
The service is not advertised as unlimited because it isn’t.
This Is a Document-Mail Service. Not a Package Address.
FilingOak Mail Scanning is designed for documents.
Packages are not accepted.
The facilities supporting the service are not intended to receive or store customer packages.
Do not use the Mail Scanning address as a package-delivery address for purchases or shipments from Amazon, Etsy, Stripe or other companies.
If your business needs parcel receiving, package storage or package forwarding, this is not that service.
Knowing that before paying is better than discovering it when a package is already on its way.
Don’t Use the Address Where the Third Party Doesn’t Allow It.
A FilingOak Mail Scanning address is not a promise that every third-party platform will accept the address for every purpose.
If a bank, platform, marketplace or other third party has its own rules concerning virtual addresses, PO Boxes or acceptable business addresses, those rules still apply.
Before using the address with a third party, make sure that the third party permits this type of address for the purpose you intend to use it for.
The FilingOak Mail Scanning address cannot be used with Google or Amazon.
Do not purchase Mail Scanning on the assumption that the address will override another company’s address requirements.
FilingOak provides the mailing service.
A third party still controls what addresses that third party accepts.
What Happens When Document Mail Arrives?
When document mail such as bank correspondence, bills, statements or similar documents is received through the Mail Scanning service, the mail can be opened and its contents scanned.
The scanned document then moves through the service to FilingOak.
When I receive the applicable scan, I upload it to your FounderVault.
That keeps the customer-facing relationship with FilingOak rather than making you chase the infrastructure behind the mailing address.
I do not advertise every piece of mail as “instant,” “same-day” or guaranteed within a certain number of hours when the complete physical-mail chain is not under FilingOak’s control.
When the applicable scan reaches me, I make it available through your FounderVault.

FilingOak provides both services, but they solve different problems.

Registered Agent Service for LLC
$149/year standalone
For the Registered Agent requirement and applicable legal-mail handling associated with that role.
If FilingOak forms your LLC, the first year of FilingOak Registered Agent service is already included with LLC Formation.
Buying Mail Scanning does not replace a Registered Agent requirement.
Buying Registered Agent service does not turn the Registered Agent address into a general business-mail scanning address.

FounderVault is FilingOak’s private customer workspace, and you can enter before purchasing Mail Scanning.
Start the service, identify the company, choose from the supported mailing locations, review the service and explicitly authorize recurring renewal before payment.
Once active, your Mail Scanning relationship remains connected to your FilingOak workspace.
Applicable scanned documents released to you can remain available through your private document vault alongside the company and FilingOak work they belong with.
If FilingOak already has verified company information, known facts can be reused where appropriate rather than making you rebuild the same basic company information for another FilingOak service.

Activation Can Take Up to 3 Days.
Mail Scanning is not represented as active the instant you submit payment.
The service requires activation of the mailing arrangement, and activation can take up to 3 days.
Do not begin directing mail to the address until your Mail Scanning service is activated and the applicable address is ready for use.
FilingOak would rather tell you about that setup period before purchase than pretend the physical service exists instantly.
Mail Scanning Is Purchased for a Full Year.
Canceling Renewal Does Not Cancel the Year You Already Paid For.
FilingOak incurs the annual Mail Scanning service cost upfront when the service is purchased.
Because the annual service is committed upfront, a change of mind after purchase is not eligible for a refund.
Your $299 purchase covers the annual service term.
If you later decide you do not want Mail Scanning to renew for another year, you can turn off auto-renew.
That stops the next automatic annual renewal.
It does not cancel the service period you already paid for.
Your Mail Scanning service remains active through the end of the paid annual term.
You are not removed from the service simply because you decided not to renew it next year.
This annual commitment and cancellation treatment should be understood before purchase, not discovered afterward.

Where are FilingOak Mail Scanning addresses available?
FilingOak currently supports Mail Scanning addresses in:
Arizona, California, Colorado, Delaware, Florida, Georgia, Idaho, Illinois, Iowa, Montana, Nevada, New Jersey, New Mexico, New York, Oregon, Texas, Utah, Virginia, Washington and Wyoming.
Does the Mail Scanning address have to be in my LLC’s formation state?
Not necessarily.
Your LLC’s formation state and the supported mailing location selected for Mail Scanning are separate pieces of information.
Can I use the address with any company or platform?
No.
Third parties can have their own rules about virtual addresses, PO Boxes and acceptable business addresses.
Use the FilingOak Mail Scanning address only where the third party permits this type of address for your intended purpose.
The address cannot be used with Google or Amazon.
Can I use the address for Amazon, Etsy or other package deliveries?
No.
Packages are not accepted.

How long does activation take?
Activation can take up to 3 days.
Do not begin directing mail to the address until FilingOak confirms the service is activated and ready for use.
Can I cancel Mail Scanning?
You can turn off renewal so the service does not automatically renew for another annual term.
Canceling renewal does not end the annual term you already purchased. Your service remains active through the end of the paid term.
Can I get a refund if I change my mind?
A change of mind after purchase is not eligible for a refund because FilingOak commits the annual service cost upfront.
The service remains available through the annual term you purchased even if you turn off future renewal.
Does FilingOak guarantee how quickly every mail item will be scanned?
No.
Physical mail and the scanning chain include steps outside FilingOak’s direct control.
When I receive the applicable scan through the service, I upload it to your FounderVault.
Can I use the same FounderVault account for my other FilingOak services?
Yes.
Mail Scanning can remain connected to the same FounderVault customer relationship while separate companies and FilingOak services retain their own records.
Do I have to pay just to enter FounderVault?
No.
