These standards are not guarantees or legal obligations. They reflect how FilingOak is designed to operate and the experience we aim to provide to every customer.
FounderVault
Every service purchased through FilingOak receives its own dedicated record inside FounderVault.
We follow this approach because business records become harder to manage when filings, documents, confirmations, notices, and service history from different entities begin mixing together.
If a customer owns multiple LLCs, each LLC receives its own service records. This helps keep important information organized under the correct business entity and makes records easier to locate later.
Historical records are intended to remain accessible for as long as reasonably practical, even after a service becomes inactive.
Document Organization
Business records should remain accessible after a purchase is complete.
Whenever possible, important documents associated with a service are organized inside FounderVault so customers have a central location to access filing records, confirmations, notices, and related service information.
The goal is simple. Important business records should be easy to find when they are needed.
Registered Agent Document Handling
When legal notices, state correspondence, or other eligible documents are received through Registered Agent service, they are opened, scanned, and uploaded to FounderVault the same business day according to FilingOak service standards.
This helps customers access important documents without relying entirely on physical mail delivery and provides a consistent location for document storage.
Filing Visibility
One of the most common frustrations with filing services is not knowing what happened after payment was made.
Was the filing prepared?
Was it submitted?
Was it accepted?
Where is the confirmation?
FilingOak aims to provide visibility into the filing process through FounderVault so customers can understand where their filing stands and where related records are stored once filing is complete.
The goal is simple. Customers should not have to guess what happened after placing an order.
Compliance Visibility
Compliance obligations should be easier to understand.
When reasonably practical, FounderVault may provide visibility into known state filing requirements, compliance obligations, filing frequencies, due dates, and related service information associated with a customer's business.
Where applicable, FilingOak may also provide informational compliance reminders through FounderVault or email to help improve awareness of upcoming filing requirements.
These reminders are intended to improve visibility and organization and should not be interpreted as legal advice, compliance guarantees, or professional guidance.
The goal is simple.
Founders should not have to rely entirely on memory to understand what obligations may be approaching.
Whenever reasonably practical, FounderVault is designed to help customers understand:
- What happened
- What happens next
- Whether any action is currently required
Renewal Visibility
Services that renew should be easy to understand.
When applicable, customers should be able to view renewal information, renewal dates, renewal pricing, and service status without searching through old emails or contacting support simply to understand what happens next.
Cancellation Visibility
Customers should be able to understand how cancellation works before purchasing a service and after becoming a customer.
Cancellation information should be accessible and explained in straightforward language.
For Registered Agent services, cancellation prevents future renewals while allowing the current paid service term to remain active until its scheduled expiration date.
Clear Address Boundaries
When permitted by state requirements, Registered Agent services may allow the Registered Agent address associated with the service to be used on eligible filings and business records.
FilingOak does not guarantee privacy, anonymity, or outcomes beyond applicable state requirements.
The objective is clarity regarding what is and is not possible.
Pricing Transparency
Customers should understand what is included in a service before making a purchase.
When state fees apply, those fees should be identified separately from FilingOak service fees whenever possible.
The objective is to reduce confusion and help customers understand what they are paying for.
Communication
Sometimes additional information is needed before a filing can be completed correctly.
When that happens, we’d rather ask than guess.
A short conversation is usually better than correcting avoidable mistakes later.
If information is missing, incomplete, or requires clarification, FilingOak will contact the customer directly before moving forward whenever possible.
The objective is accuracy, not speed for the sake of speed.
